How to Switch from ServiceTitan Without Losing Data (Or Sleep)

A practical migration playbook for moving off ServiceTitan to a flat-priced field service CRM. Customer data, invoices, jobs, and payment history — what carries over and how.

Why teams leave ServiceTitan in 2026

ServiceTitan is a real platform, used by tens of thousands of contractors. The most common reason teams leave isn't the product — it's the price. Per-technician pricing punishes you the moment you hire your fourth tech, and the contracts are usually annual. What carries over

  • Recurring service plans. Often the trickiest piece. Document each plan's interval, scope, and renewal date and rebuild them on the new platform.

What doesn't carry over (without manual work)

  • Historical SMS message logs — usually rebuilt from scratch.
  • Stored payment methods on file — for PCI reasons, customers re-enter cards.
  • Custom forms and workflows — rebuild on the new platform's primitives.
  • Marketing automations — rebuild or migrate to a dedicated marketing tool.

The 30-day migration plan

Week 1: Set up and validate

  1. Sign up for the new platform's free trial. Connect Stripe. Configure your team and roles.
  2. Import customers and locations via API or CSV. Spot-check 25 records for completeness.
  3. Recreate your pricebook (line items, taxes).
  4. Configure the AI phone assistant or business phone system if you're adopting one.

Week 2: Parallel run

  1. Pick one technician or one job type. Run new jobs through the new platform end-to-end (schedule → dispatch → invoice → payment).
  2. Identify gaps. Fix them with the vendor's support team while you still have ServiceTitan as the safety net.
  3. Train the office team on the new dispatch board with real Monday-morning load.

Week 3: Expand

  1. Migrate the rest of the team. Keep ServiceTitan read-only for historical lookup.
  2. Send customer-facing SMS templates a test pass — STOP/HELP keywords, branded sender, opt-out compliance.
  3. Reconcile open invoices and outstanding A/R.

Week 4: Cut over

  1. Stop creating new work in ServiceTitan.
  2. Notify your largest customers (the ones who'll notice) about the new payment portal URL.
  3. Cancel ServiceTitan at the end of the contract term — confirm the off-boarding window for data export.

Common pitfalls

  • Forgetting recurring service plans. Pull a list of every customer with a maintenance agreement and rebuild them on the new platform before cutting over.
  • Tax codes drift. If the new platform calculates tax differently, reconcile a sample of recent invoices to make sure totals match.
  • Stripe migration. If your new platform uses Stripe and ServiceTitan used a different processor, customers re-enter cards. Plan for it; communicate it.
  • Reporting continuity. Export every report you'll need historical access to before canceling.
