What GridBoss is and who it's for.

What is GridBoss?
GridBoss is a modern field-service management platform — scheduling, dispatch, customers, jobs, estimates, invoicing, online payments, an AI assistant, and a built-in business phone system. It's designed for plumbing, septic, HVAC, electrical, drain cleaning, and other service trades that don't want to pay hundreds per technician per month for a legacy CRM.
Who is GridBoss for?
Owner-operators and growing service teams in the trades — plumbing, septic, HVAC, electrical, drain cleaning, and general service contracting. If your business runs on truck rolls, customer addresses, scheduled service calls, and invoices, GridBoss fits.
What makes GridBoss different from ServiceTitan, Housecall Pro, or Jobber?
Flat monthly pricing instead of per-technician fees. Online payments at rates as low as 1.9% — among the lowest in the industry. A built-in phone system and AI assistant on the higher tiers. A public REST API and MCP server on Business so you're not locked in. And it's mobile-ready out of the box with no app to download.

All plans include a 14-day free trial, no credit card required.

How much does GridBoss cost?
Three plans, billed monthly, no contracts: Starter $49/mo (up to 10 users, 2.9% payment processing), Pro $99/mo (up to 25 users, 2.5% processing, business phone system, QuickBooks sync), Business $199/mo (up to 50 users, 1.9% processing, IVR, call recording, public API + MCP server, audit log).
Are there per-technician fees?
No. Every plan includes flat-rate user limits with no per-tech surcharge. Add your whole team for the monthly price.
Is there a free trial?
Yes — 14 days on every plan, with full access to that plan's features. No credit card required to start.
What happens at the end of the free trial?
The owner of the account is prompted to subscribe. Until they do, the dashboard redirects to the billing page. Existing data is preserved, and once the owner subscribes, the team picks up where it left off. If no one subscribes, the account stays paused and data is retained for 90 days before deletion.
Can I switch plans later?
Yes — switch from Settings → Billing at any time. Upgrades take effect immediately; downgrades take effect at the end of the current billing period.
Are there long-term contracts?
No. GridBoss is month-to-month. You can cancel anytime; cancellation takes effect at the end of the current billing period.
Do you offer refunds?
Refunds aren't provided for partial months of service. If something is off with your account, email hello@gridboss.io and the team will sort it out.
How do payment processing fees work?
GridBoss uses Stripe for online payments. Your customers pay by card or ACH, you keep 100% minus the per-transaction processing fee (2.9% on Starter, 2.5% on Pro, 1.9% on Business). There are no platform markups, statement fees, or monthly minimums.

Setup & Onboarding

From signup to your first invoice in under an hour.

How long does setup take?
Most teams are productive in under an hour. The onboarding wizard captures your industry, business basics, branding, and a public booking page slug. After that you can invite your team, import customers, configure your service catalog, and connect Stripe and QuickBooks at your own pace.
Can I import customers from my current tool?
Yes — you can import customers via CSV from Settings → Import. For migrations from ServiceTitan, Housecall Pro, Jobber, or QuickBooks, email hello@gridboss.io and the team will help map and import your data.
Do you provide onboarding help?
Pro plans include priority email support; Business plans include dedicated support with a direct contact. For Starter, email hello@gridboss.io — typical first response within one business day.
What roles can I assign to team members?
Four roles: OWNER (full control including billing), ADMIN (everything except billing), DISPATCHER (schedule and manage jobs/customers), and TECHNICIAN (see assigned jobs, update status, log time, capture photos). Permissions are enforced server-side.

Features

What GridBoss can do day to day.

What features come with GridBoss?
Drag-and-drop scheduling and dispatch, customer and job management with multi-property support, estimates with online signing, branded invoices with online payments, SMS notifications, an AI chat assistant, and (on Pro and Business) a built-in business phone system. Everything is mobile-ready.
How does scheduling work?
A drag-and-drop calendar with day, week, and month views. Drag jobs onto time slots, reassign by dragging to another technician, resize to change duration, color-code by job type or status. Conflicts are highlighted automatically. Dispatched jobs show up on technicians' phones in real time.
Can a customer have multiple service addresses?
Yes. Each customer record supports multiple properties, each with its own address, equipment notes, gate codes, and service history. Useful for property managers, multi-location commercial accounts, or customers with second homes.
Do you support estimates and online signatures?
Yes. Estimates have line items pulled from your pricebook, optional good/better/best option groups, taxes, and online signature capture via a unique link. Approved estimates roll into a job and invoice in one click.
How do invoices and online payments work?
Invoices are branded with your logo and color. Send by email and the customer pays online via Stripe (card or ACH) at a clean payment page — no login required. Partial payments and deposits supported. Funds deposit to your bank account on Stripe's standard payout schedule (usually 2 business days).
Are SMS notifications included?
Yes — Starter includes 100/month, Pro 500/month, Business 2,000/month. Templates for appointment scheduled, reminder, on-the-way, completed, estimate sent/accepted, invoice sent/paid, and service reminders. Customers can reply STOP to opt out, HELP for help.
Is there a mobile app?
There's no separate app to install — GridBoss is responsive and works on phones, tablets, and desktops in the browser. Technicians log in to the same URL on their phone and get a streamlined interface tuned for field work: today's schedule, one-tap status updates, photo capture, and time tracking.
Does it work offline?
The mobile interface is offline-friendly — technicians can keep working when signal drops, and changes sync when they're back online.

AI & Phone Assistant

How the AI handles calls and chats, and what plans it's on.

What can the GridBoss AI assistant actually do?
Answer the phone with your custom greeting, identify the caller from their phone number, look up customer info, check job status, schedule a new appointment, take a callback request, transfer the caller to a person/role/team, and answer questions from your knowledge base (uploaded docs, pasted text, imported web pages).
How does the AI know about my business?
Each tenant has a private knowledge base backed by Google Vertex AI RAG. Upload PDFs, paste text, or import URLs from Settings → Knowledge. On every conversation turn, the AI runs a similarity search against your KB and uses the relevant passages to answer accurately. It can also call a `search_knowledge_base` tool mid-turn for follow-up questions.
Can I customize what the AI says?
Yes. From Settings → AI Assistant you can configure the greeting, personality (friendly, professional, concise), transfer message, schedule (always on / business hours / after-hours), and which preset conversation flows are enabled for your line.
Which plans include the AI assistant?
All plans include the AI Chat Assistant: Starter 50 messages/month, Pro 500/month, Business 2,000/month. The voice phone assistant requires Pro or Business (since the phone system itself is on Pro+).
Does the AI handle appointment booking on its own?
Yes — the booking flow uses a `check_availability` tool to find open slots, asks the caller to pick one, and books it via `book_appointment`. The AI confirms details before saving and won't double-book existing slots.
What if the AI can't help the caller?
It transfers to a human. You configure the transfer strategy: ring all team members, ring a specific user, or ring a role group (owners, admins, dispatchers, or technicians). If no one answers, it offers to take a callback request.
Will the AI make up answers?
It's instructed not to. The system prompt explicitly requires it to call the knowledge-base search tool for product, pricing, or policy questions, and to say honestly when it doesn't know rather than guess. If you find the AI inventing details, that's a bug we want to hear about — email hello@gridboss.io.

Business Phone System

The built-in Twilio-powered phone system on Pro and Business.

Do I get a real phone number?
Yes — Pro and Business plans include a dedicated business phone number powered by Twilio. Inbound calls can be answered by the AI assistant, ring your team, or go to voicemail based on your schedule. Outbound calls dial from this number, not a personal cell.
What's a softphone?
A browser-based phone built into the GridBoss dashboard. Your office team can answer, hang up, transfer, and mute calls right from the browser — no desk phone hardware required. Pro and Business plans include the softphone.
Can I set up an IVR menu?
Yes, on the Business plan. Configure menus like "Press 1 for new customer, 2 for status updates, 3 for billing," and route each option to a person, team, or the AI.
Do you record calls?
Optional automatic call recording is available on the Business plan for inbound and outbound calls. Recordings attach to the customer record. Be sure to comply with your local two-party consent laws.
Can I bring my own Twilio account?
Yes — you can either bring your own Twilio account or use a GridBoss-managed Twilio number. A2P 10DLC registration for US tenants is handled by GridBoss either way.

Integrations & API

What does GridBoss integrate with?
Stripe (online payments and subscription billing), QuickBooks Online (Pro and Business — customers, invoices, payments, and tax codes sync automatically), Twilio (built-in phone system and SMS), Google Calendar (optional sync), and Resend (transactional email).
Does GridBoss sync with QuickBooks?
Yes, on Pro and Business plans. Customers, invoices, payments, and tax codes sync automatically once you connect QuickBooks Online from Settings → Integrations. The sync runs on changes — no manual export/import.
Is there a public API?
Yes, on the Business plan. A REST API covers customers, properties, jobs, vehicles, estimates, invoices, payments, and more. API keys are issued from Settings → API Keys with role-scoped permissions and an audit history.
What is the MCP server?
An MCP (Model Context Protocol) server, also on the Business plan. It exposes your GridBoss data through MCP so you can connect Claude Desktop, Cursor, or any MCP-compatible client and query / update GridBoss data with natural language. Same role-based access control as the REST API.
Can I export my data?
Yes — CSV exports for customers, jobs, invoices, and estimates from Settings → Export, on every plan. For a full database dump or migration help, email hello@gridboss.io.

Security & Data

Where your data lives and what happens if you cancel.

Where is my data stored?
Application data in Google Cloud SQL (Postgres, US region). Files and photos in Google Cloud Storage with per-tenant scoping. Knowledge base embeddings in a per-tenant Google Vertex AI RAG corpus. Payments through Stripe (PCI-compliant). SMS and voice through Twilio. Email through Resend.
Is my data encrypted?
Yes — all traffic is encrypted via HTTPS/TLS. Data at rest is encrypted by the underlying Google Cloud services. Database backups are encrypted. GridBoss does not store full credit card numbers (Stripe handles that).
Who owns my customer data?
You do. Customer records, jobs, invoices, estimates, and notes you enter into GridBoss are yours. We don't claim ownership and we don't sell or share your data. We process it solely to provide the service.
What happens to my data if I cancel?
Data is retained for 90 days after cancellation in case you reactivate. After 90 days, data is permanently deleted. You can request immediate deletion at any time via hello@gridboss.io.
Is there an audit log?
Yes, on the Business plan. Every change to a customer, job, invoice, estimate, or user record is logged with who/when/what. Admins can review the audit log from Settings → Audit.
How does GridBoss handle SMS compliance?
SMS is for transactional, service-related communication only — appointment confirmations, reminders, on-the-way notifications, invoice updates. Marketing SMS is not allowed under the Terms of Service. Customers can reply STOP to opt out and GridBoss honors opt-outs automatically. A2P 10DLC registration is handled for US tenants.
